Management Services Details

Property Evaluation

We conduct an initial property takeover inspection to include interior and exterior photos. Recommendations for repairs and cosmetic improvements are provided to make the property rent ready. Current rent rates are evaluated to optimize ROI while minimizing marketing time.


Property Marketing

The property will be made ready to show by ensuring it is clean and appealing inside and out prior to marketing. We employ a fully syndicated marketing strategy that ensures prospective renters find our available rentals quickly and easily. Additionally, our property managers familiarize themselves with each property to capture and communicate its unique features.


Tenant Screening and Placement

Every prospective renter must fill out an application and pass our extensive screening process which includes a full credit, criminal, and eviction history for all tenants and occupants over 18. We handle the following documentation associated with the tenant’s occupancy: application, lease, work orders, and inspections. Where practical, each property will receive a RENTLY electronic lockbox. The RENTLY electronic showing platform provides secure self-guided tenant showings daily from 7am to 8pm (RENTLY system info available at www.rently.com). Prospective tenants can also schedule agent-assisted showing appointments online as well as fill out and submit rental applications via our website (www.AZHomeRentals4U.com). These features help limit vacancy time between tenants.


Property Maintenance

Our team of professionals and preferred vendors will perform the necessary maintenance services as quickly, efficiently, and economically as possible. Tenants are able to submit work orders online 24/7 to help ensure repair requests are fully documented from start to finish. Owners will always be given the opportunity to approve any non-emergency required or requested repairs in excess of the PMA maintenance limit.


After Hours Emergency Services

We offer after hours services for tenant emergencies to help ensure a rapid response when necessary.


Property Inspections

We provide cursory visual inspections of the property, both inside and outside, after each tenant vacates and prior to any lease renewal. Any other inspections may be subject to additional fees on a case-by-case basis. The inspection reports will include details about any observed tenant damages, reported maintenance problems or concerns, recommended owner repairs, and will typically include fully integrated photos to capture the condition of the property at the time of the inspection. Inspections are shared via the owner portal for easy online access.


INSPECTION DISCLOSURE: We are not licensed home inspectors and we do not accept any liability for hidden damages or defects, or other items that would have been caught by a professionally licensed home inspector or other professional service inspection (such as roof inspections, engineering or foundation inspections, HVAC inspections, plumbing/leak detection, mold inspections, major appliance function, etc.). Arizona HomeStores LLC will arrange for such professional inspections as requested by the owner or as otherwise deemed necessary at the owner’s expense.


Rent Collection and Disbursement

All aspects of rent collection are part of our services. Whether payments are on time, late, partial, or unpaid, we will take the appropriate action. We require certified funds (cashier's check or money order) or direct ACH rent payments to ensure owners get paid as quickly as possible, typically by the 10th of each month. If it becomes necessary, we will take the steps needed to start the eviction process or initiate collection action for non-paying tenants. Owners will bear the financial responsibility for any associated collection fees, legal fees, and court costs. Any necessary court appearances by management staff will also incur additional fees that will be discussed when/if needed.


Recordkeeping and Bookkeeping

Our company uses AppFolio property management software (see www.appfolio.com for details), a cloud-based platform that incorporates numerous tasks required for effective property management. Besides providing accurate accounting of all monies handled for each property, this system features online applications, digital leases, electronic inspection records, online work order requests and maintenance tracking, dedicated owner and tenant portals, and much more. These features are all seamlessly integrated into a single platform to ensure all documentation is accurate and accessible.


Monthly Owner Statements

We are responsible to account for all income and expenses associated with each rental property. Owners will be provided a monthly account statement along with copies of any maintenance work orders and associated invoices. These reports will be emailed to owners each month and posted online for easy access at any time via the owner portal. The reports that are received can also be customized to meet an owner’s specific needs upon request for an additional setup fee. NOTE: Owners may request copies of owner statements be mailed via regular mail for an additional paper statement fee.


End-of year Tax Documents

End-of-year tax documents (owner 1099, YTD owner statement, and YTD cash flow report) will be provided electronically each January for the previous year (on or before January 31st). Owners requesting paper copies will be assessed a paper statement fee.

Owner Portal

Each owner will receive online access to all historical owner statements, maintenance packets, inspections, tax documents, etc. through a secure owner portal. All data is stored in a state-of-the-art data center that is continuously backed up to ensure system records are retained properly as required by law. The owner portal can be securely accessed via Internet connection at https://arizonahomestores.appfolio.com/oportal/ using two-point authentication (established with a user email address, password, and text message verification).


Additional Services

There are often unique circumstances that no one can anticipate. While some issues are beyond our scope and capability, we are very flexible in our services and will go the extra mile when needed. If we cannot do something directly, we will do our best to find the right point of contact to refer as the situation dictates.
